ClickUp — All-in-one project workspace with tasks, docs, goals and dashboards in one app
What it is
ClickUp bundles tasks, docs, whiteboards, goals, sprints and dashboards into one workspace with generous free-tier limits. It can replace three or four separate tools for a small team, and its custom fields and views are genuinely deep. The recurring review complaint is feature overload - the app can feel heavy and slow, and mobile trails desktop.

Long-form introduction by the BetterPicker editors · checked against the official site · Oct 12, 2026
ClickUp wants to be your task list, docs, chat, whiteboards, goals and dashboards in one app, and for the most part it pulls it off. The free tier is unusually generous - unlimited tasks and unlimited members - and the view system plus custom fields have genuine depth for shaping a workspace around your own process. The trade-off is weight. This is a lot of app, and reviews keep circling the same two complaints: it takes real time to learn, and big, heavily customized workspaces can feel slow. Neither is disqualifying - the depth is exactly why teams stay - but walk in expecting a platform, not a simple task list.
What it does well
A free tier you can actually run on: unlimited tasks and unlimited free-plan members, with collaborative docs, kanban boards, sprint management and calendar views included. The real ceilings are 60MB of file storage, five spaces and a small automation allowance - tight, but honest enough to evaluate properly before paying.
Views and fields with genuine depth: list, board, calendar, Gantt, timeline, workload and table views sit on top of custom statuses and custom fields. Engineering, marketing and ops can shape the same workspace to fit very different processes instead of bending their process to the tool.
Fewer tools to stitch together: docs, wikis, whiteboards, chat, goals, forms, time tracking and dashboards come in the box, with automations covering repetitive status changes and assignments, and integrations like Slack, Google Drive and HubSpot from the first paid tier up.
Who it's for
Small to mid-size teams that have outgrown a shared spreadsheet but do not want to pay for four separate subscriptions, and operations-heavy teams that live in dashboards, sprints and repeatable processes. It also suits agencies juggling multiple clients, since spaces, folders and permission controls separate work cleanly. Solo users get value too, but will feel the feature gravity without a team to share the setup work, and the free tier's storage cap means heavy attachments belong in an external drive with links instead.
Where it falls short
Feature overload is real: menus, views and settings pile up quickly, and new users need onboarding time before the app feels like an aid rather than a puzzle. Teams that import an enterprise setup on day one tend to struggle most.
Performance degrades at scale: users report lag and slow-loading views once a workspace carries large task volumes, many custom fields and layered automations. Simple setups stay quick; complex ones pay for their complexity.
Free storage runs out fast: 60MB disappears with a handful of attachments, which pushes file-heavy teams toward paid plans sooner than the unlimited-tasks headline suggests. Plan to keep heavy files in Drive or Dropbox and link instead.

Frequently asked questions
▸Is ClickUp's free plan usable for a real team?
Yes for task tracking: unlimited tasks and unlimited members. The limits are 60MB file storage, five spaces, three whiteboards and a small automation allowance - enough to evaluate it, tight for file-heavy work.
▸What do you gain by paying?
Unlimited storage and integrations, Gantt and timeline views, guest permission controls, native time tracking, higher automation quotas and, on Business, unlimited dashboards with advanced cards and sprint reporting.
▸Is ClickUp too complicated for a small team?
It can be if you switch everything on. Teams that start with one space, a simple list or board and a few statuses report a much smoother ramp than teams that import a complex setup on day one.
▸How is performance on large projects?
Generally responsive at moderate scale, but reviews repeatedly note slowdowns in very large, heavily customized workspaces with many custom fields, integrations and automation layers.
